At Vyapar Wallah, we believe in a healthy work-life balance while ensuring that our client commitments and agency operations run smoothly. This Leave Policy outlines the entitlement, approval process, and rules regarding employee leaves.
1. Annual Leave Entitlement
Every full-time employee is entitled to 12 Paid Leaves (PL) per calendar year.
- Leaves are accrued at the rate of 1 leave per month of completed service.
- Probationary employees or interns are not entitled to paid leaves unless specified in their offer letter.
2. Leave Request & Approval Process
To ensure campaigns and client deliverables are not affected, employees must follow the standard approval procedure:
- Planned Leaves (1-2 days): Must be applied for and approved at least 3 days in advance.
- Long Leaves (3+ days): Must be applied for at least 10 days in advance so proper handover and project planning can be done.
- Approval Authority: Leaves must be approved in writing (via official Email/WhatsApp group) by the immediate Manager or HR. Informing a colleague does not count as an approved leave.
3. Sick & Emergency Leaves
We understand that medical emergencies and unforeseen circumstances happen.
- Notification: In case of sudden illness or emergency, the employee must inform the Manager/HR via call or text before 9:30 AM on the same day.
- Medical Proof: If a sick leave extends beyond 2 consecutive days, a valid medical certificate/doctor's prescription must be submitted upon joining back.
4. Unauthorized Absence & No-Show
Discipline is non-negotiable at Vyapar Wallah.
- Taking a leave without prior approval or failing to inform management about an emergency is considered "Absconding" or a "No Call, No Show".
- Such unauthorized absence will result in a strict Loss of Pay (LOP) of 2 Days for every 1 day of uninformed absence.
- Continuous unauthorized absence for 3 days or more may lead to immediate termination of employment.
5. Public & National Holidays
- Vyapar Wallah observes standard national and state holidays (e.g., Republic Day, Independence Day, Holi, Diwali, Chhath Puja, Eid, etc.).
- The official holiday calendar will be shared by HR at the beginning of every year.
- If a holiday falls on a Sunday, no compensatory off will be provided.
6. Carry Forward & Encashment
- No Encashment: Unused Paid Leaves cannot be cashed out at the end of the year or during full and final settlement.
- Lapse Rule: All pending leaves lapse on the 31st of December every year. They do not carry forward to the next calendar year.
7. Notice Period Leaves
- Employees serving their notice period are not allowed to take paid leaves.
- Any leave taken during the notice period will be treated as Leave Without Pay (LOP) and will correspondingly extend the notice period end date.
